Liability Waivers
Some activity or pass products may require purchasers to agree to a release of liability for each eligible product they purchase before being allowed to complete their transaction.
- Inntopia products requiring a guest to sign a liability waiver can be associated with either standard Inntopia waivers; or, if an integration is established, with waivers managed in the 1RISK | Risk Management Software system.
- A single itinerary can contain products associated with both Inntopia and 1RISK waivers.
- By default, products associated with Inntopia standard waivers are sold in Inntopia eComm; however, it is possible to set up products with standard Inntopia waivers to be sold in both Inntopia eComm and Inntopia CRS.
- For partners with an integration with 1RISK| Risk Management Software, guest purchase, in either Inntopia CRS or Inntopia eComm, of products associated with 1RISK liability waivers triggers an email to be sent to the guest from Inntopia Marketing Cloud that contains a link to sign the waiver directly in the 1RISK system. 1RISK waivers can also be accessed through a link to 1RISK located on the Inntopia eComm My Account screen.
- For partners with products integrated with RTP or Siriusware and using standard Inntopia waivers, upon purchase, the guest is prompted to sign the waiver as part of the eComm check-out process . A waiver authorization profile is created in the remote system for subsequent product purchases.
Upon purchase of products managed in Inntopia RMS or integrated with RTP or Siriusware, the guest is prompted to access and sign the standard Inntopia waiver as part of the eComm check-out process. A waiver authorization profile is created in Inntopia or in the POS for subsequent product purchases. Guests can print a copy of their waiver from the My Account screen.
The following describes the waiver process in Inntopia eComm
- If more than one product requiring a liability waiver is in the cart, the system prompts the user to accept the release for each product purchased. When buying a product requiring a release for a minor, the purchaser can accept for the minor.
- To complete the release of liability process, in the final section of the waiver, the user must type I AGREE and type the full name of product user/purchaser in the Type Your Name 'First Last' field and then click I AGREE.
- When accepting a waiver for a minor, the minor’s name appears in the Accepted For field and the purchaser must type the parent/guardian name in the Type Your (Parent or Guardian) Name field.
- Once waiver information is entered and accepted, Inntopia becomes the system of record storing all liability waiver data.
- Liability waivers can be printed by the purchaser before clicking the Complete Booking button during the Review page of the check-out process.
- For a liability waiver to be fully accepted, the purchaser must check each agreement box in all sections of the waiver in which they appear.
- The fields in the final acceptance stage of the liability waiver process are validated by Inntopia and must match the name associated with the product requiring a waiver.
You can associate products in Inntopia with waivers that are managed outside of the Inntopia system by 1RISK|Risk Management Software. To use 1RISK waivers with your Inntopia products, you must have an established integration with 1RISK|Risk Management Software.

If Inntopia collects a liability waiver for an RTP-integrated product, Inntopia can send an authorization to your RTP Point-of-Sale (POS) system to release the product media to the customer.

Liability waivers are set up in your Inntopia system by Inntopia staff. The information required to set up liability waivers differs depending on the type of waiver you want to use and whether or not the products associated with the waiver are integrated with a remote system (RTP). As part of the set-up process, products are associated with the waiver.
The following instructions are for setting up a standard Inntopia liability waiver for
- Submit the following information to Inntopia Partner Services:
- Supplier ID and Inntopia Product ID – Supplier ID and all associated product IDs for which you would like the liability waiver to appear. You can list one or many product IDs for a single waiver.
- Waiver Language – Specify English or French. For information on how to include liability waivers in both English and French, contact Inntopia Partner Services.
- Waiver Name – Name of the waiver. Example: Summer Bike Lesson and Rental Waiver 2021.
- Waiver Agreement Box Text (optional) – If you want the agreement box to say something other than the default I AGREE, submit the alternate text to Inntopia.
- Waiver Authorization Age – Minimum age required to sign a liability waiver. Default is 18.
- Waiver Expiration – Number of days until the waiver will expire. Default is 365 days. After the expiration has been met, the customer will be required to fill out a new liability waiver to purchase the same product again.
- Waiver Text – Properly formatted HTML tags including inline styles and ‘embed’ tags for videos. The waiver can contain one or many sections; however, because each section must be accepted by the user, Inntopia recommends keeping as few separate waiver sections as possible to simplify the acceptance process.
- To ensure that the liability waiver will appear during the purchase process, check that each product using the waiver has the Customer Name and Date of Birth customer requirements added.
- Once the waiver has been set up by Inntopia, test for the following:
- Ensure the waiver looks as expected on-line
- To have the product IDs of newly created products requiring a liability waiver mapped to the release, contact Inntopia Partner Services.
- For the waiver to appear during the purchase process for products requiring the waiver, those products must have the Customer Name and Date of Birth customer requirements added to the products.
- When using the standard setup approach, you cannot assign a single liability waiver to two different suppliers; you must enter separate set-up requests for each waiver.

To set up a 1RISK liability waiver for products sold only through online sales channels:
- Establish an account with 1RISK if one does not already exist.
- Work with Inntopia to set up 1RISK waivers and associate products with the waivers. Submit the following to Inntopia Partner Services:
- Supplier IDs – Submit the supplier IDs of each supplier for which you want to attach waivers to products.
- Inntopia Product IDs – Submit all product IDs for which you would like the liability waiver to appear. You can list one or many product IDs for a single waiver.
- Sales Channel IDs – Submit all Inntopia sales channel IDs in which the waivered products will be sold. If you plan to sell waivered products in Inntopia CRS and Inntopia eComm, you must submit both the CRS and online sales channel IDs.
- Email Template – Specify whether to use the Inntopia default or your own.
- If using Inntopia default, provide logo/images in .png format to be used in email.
- If using your own template, submit the template in HTML format to Inntopia Partner Services.
- From and To Email Addresses –
- Indicate a single email address from which the email will be sent and to which responses from the guest will be sent. This email address will appear in the email header that is sent to the guest.
- You can use waivers@1risk.inntopia.com or you can provide a custom email domain (waivers@yourresortname.com). Notes:
- Inntopia requires an additional fee to set up custom email domains. For pricing information, contact Inntopia Partner Services.
- To use a custom email domain, your IT department must implement DNS records provided by Inntopia.
- The custom email domain should be specific to waivers and not a corporate email.
- Waiver Name – Appears on the My Account screen in eComm. Does not appear in the waiver email sent to the guest.
- Waiver Expiration Date – Indicate the number of days the waiver is valid.
- Point of Sale (POS) System – Indicate Siriusware or none.
- Optional Shadow Email Address – Indicate the email address of a recipient in your organization who will receive a blind carbon copy (bcc) of the waiver email sent to the guest.
- waiverid – Indicate the waiverid provided by 1RISK. Each waiver will have a 1RISK waiverid.
- poswaiverid – If waivers are being integrated to a POS, indicate the poswaiverid for each waiver. The posWaiverID is the ID number generated when the Partner configures the Liability Form in the POS.
- Siriusware – Use the FormNo value
- To ensure that the liability waiver email will be triggered during the purchase process, check that each product using the waiver has the Customer Name and Date of Birth customer requirements added.
- Work with Inntopia to test waiver emails and links.
- Partners with Siriusware Suppliers: Work with 1RISK to test and confirm downstream to POS.
Note: Allow at least 10 working days for the setup/testing to be completed.

To add existing or newly created products to an existing liability waiver, contact Inntopia Partner Services with the following information:
- Supplier ID – Supplier ID of the supplier for which you want to attach waivers to products.
- Inntopia Product ID – Product IDs for which you would like the liability waiver to appear. You can list one or many product IDs for a single waiver.
- Waiver Name – Name of the waiver. Example: Summer Bike Lesson and Rental Waiver 2021.
Inntopia staff will associate the products with the specified liability waiver.
Products requiring a liability waiver cannot readily be sold through Inntopia CRS because agents cannot sign or accept a release on behalf of a customer. To bypass this limitation, Inntopia suggests publishing a Product Bundle to eComm-only sales channels that contains the following:
- product requiring a liability release as the parent product, and
- a liability waiver-specific product as the child product.
Since the bundle is not published to Inntopia CRS, an agent can sell the product without requiring a liability waiver for checkout but rather for the guest to sign via a link in an email to the online version of the itinerary.
When a guest selects one of the bundled parent products online, the waiver-specific child product is automatically added to the cart. The guest is required to sign the waiver to proceed through checkout.
When a CRS agent selects one of the bundled parent products on behalf of a guest, the waiver-specific child product is automatically added to the itinerary and an email is sent to the guest that includes a link for the guest to both confirm the itinerary and sign the liability waiver.
- Open Inntopia RMS and identify which products will require a liability waiver.
- Create a separate product to be used as a waiver-specific product with the following details:
- Restrict the product to "bundle-only"
- Add availability and $0 pricing
- Submit a liability waiver set-up request to Inntopia Partner Services and include the product ID of the waiver-specific product. Inntopia support will map the HTML liability waiver to the waiver-specific product.
- Create a Product Bundle using the following settings:
- Item is Required
- Minimum required /Maximum allowed =1
- Same Guest Assigned to Both Products = Yes
- Apply the bundle Per Product
- Select the bundle products:
- Make the products requiring waivers the parent products, and
- Make the waiver-specific product the child product.
- Publish the bundle to the eComm sales channel ONLY.
Note: This solution applies to products integrated with a POS and to those that are not integrated.
