Customer Credit on Account and Gift Certificate Liability Report

The Customer Credit on Account and Gift Certificate Liability Report tracks customer credit amounts on account balances. Data on this report is sorted alphabetically by guest last name.

  1. In Inntopia CRS, click the Reports & AR/AP tab. The Reporting, Receivables and Payables page appears.
  2. From the list of reports, click Customer Credit on Account and Gift Certificate Liability. The date selector appears.

  3. In the As Of field, use the drop-down calendar to select date parameters for your report.
  4. Click Search. The Customer Credit on Account and Gift Certificate Liability Report appears sorted alphabetically by customer name. A sample report appears below.

    To see the details of a customer’s credit usage history, click on the customer’s corresponding Details link. The credit usage details for that customer appear.

  • Name – Name of customer to whom the credit was issued
  • City – City in which the customer lives
  • Region – State or province in which the customer lives
  • Email Address – Customer’s email address
  • Original Amount – Original amount of the credit at the time it was issued to the customer
  • Balance XX/XX/XXXX – Unused amount left on the credit as of the date shown
  • Subsequently Used – Amount of the credit that has been used after the “As Of” date of the report
    • For example, if you ran a report on February 10 for credit transactions that took place as of January 31, the amount of credit used since then, between February 1 and February 10, appears in the Subsequently Used column. If no amount of credit has been used since the "As Of" date, the column contains zeros.
  • Details – Link to show the breakout details of the customer’s credit usage history. These details are listed by Itinerary ID. The amounts in each column of details add up to the amount in the corresponding column in the non-detailed area.
  • Total – Total amount of customer credits owed by your CRS to customers as of the specified date
