Manage Rates and Availability

You can use the Inntopia system to create no-charge products that have zero-dollar pricing. No-charge products must have a zero-dollar rate of $0.00. Products with no rate entered do not appear in search results. For detailed information, click here.

When you first open the Tape Chart, the default products you see are Lodging products. You can access your other products by choosing a different product category.

1. From the Category drop-down list, select the type of products with which you want to work. The products for the category you chose are listed.
2. To narrow a list of products, enter a key word, letter, or numeric product ID in the Filter field and click Filter. The list of products is narrowed according to what you entered in the field.

   For example, if you want to list only those products containing the word “Room”, type Room in the filter field. Or, if you want to list only products beginning with the letter B, type B in the filter field.

3. For users with an integration with Agilysis Visual One who have group blocks set up, toggle the view of listed products between showing and not showing products associated with group blocks, click the Toggle Group Blocks button.

1. Open the Tape Chart and choose the category for which you want to edit information.
2. To change the range of dates for which you want to enter information, choose the start date from the drop-down calendar in the Show From field. The Tape Chart adjusts to the dates you specified.
3. Find the product and the date for which you want to add information and double click its corresponding box. (You can also right-click in the box and then click Edit.) The Product Rates box appears.

   
   

4. Enter rate information in any of the following fields that apply to your product:
   • Base Rate – Enter the base rate of the product.
   • Single Supplement – Enter the supplemental charge for single occupancy if using Per-Person Pricing.
   • Extra Adult – Enter extra adult rate. (Based on minimum Adult age as determined on the Company page.)
   • Extra Child – Enter extra child rate. (Based on minimum Child age as determined on the Company page.)
5. Click Okay. The rate appears in the selected box. Extra adult or child charges are indicated by either a green plus sign or two red plus signs inside the box.

   
   

6. To edit the rate, double click the box and enter the new information in the appropriate fields in the Product Rates box.

• You must have rates entered before you can enter availability.
• Products not containing rates appear grey.
• Products containing rates but no availability have a zero in their corresponding date box.
• You can enter a maximum of 32,767 available products per day.

1. Open the Tape Chart and, from the Category drop-down list, choose the category of products for which you want to enter information. The products for that category appear in the tape chart beginning with today’s date and showing the next 40 days.
2. To change the range of dates for which you want to enter availability, choose the start date from the drop-down calendar in the Show From field. The Tape Chart adjusts to your specified dates.
3. Find the product and the date for which you want to enter availability and double click the corresponding box. The number in the box becomes editable.

   

   (To update multiple dates at once, drag your mouse to highlight each consecutive date you want to update, right-click in one box, and click Edit. In the pop-up box, enter the availability in the pop-up box, and click Okay.)

   

4. Enter the number available for that particular product (i.e., inventory to sell through Inntopia). The entry is automatically saved and a message appears informing you that the change has been updated.

You can update the Minimum Stay Requirements for an individual lodging product using the Tape Chart.

1. Open the Tape Chart and click the Minimum Stay tab at the top of the Tape Chart screen.
2. In the list of products, find the product and date you want to work with and double click the corresponding box. The number becomes editable.

   

   (To update multiple dates at once, drag your mouse to highlight each consecutive date you want to update, right-click in one box, and click Edit. In the pop-up box, enter the minimum stay requirement in the pop-up box, and click Okay.)

   

3. Enter the minimum number of days you require a guest to stay. The entry is automatically saved and a message appears informing you that the change has been updated.

   

4. Repeat the process for each date you want to enter or update minimum stay requirements.

Using the Tape Chart, you can close individual lodging products to check in, check out, or close any product to booking at all.

1. Open the Tape Chart and choose the category of the product you want to work with.
2. Depending on whether you want to close out lodging dates for Check-In, Check-Out, or Close Out the product altogether, click on the appropriate tab at the top of the tape chart screen. Available products are indicated by the green boxes in the chart.

   
   

3. In the list of products, find the product and corresponding date you want to work with and double click in the corresponding green box. The box turns red to indicate it is closed on the date you selected.

   
   

4. Repeat this process for each date you want the product closed to check in or check out, or closed to booking.
5. To open a closed product, double click its corresponding red box. The product’s box appears green to indicate it is open and available for booking.

You can load/update either combined or individual rate, availability, minimum stay, check-in, check-out, and close out information for single or multiple products and dates using the Bulk Loader. You can also enter specific information for products whose information varies depending on the day of the week.

Note: The exporter cannot be used with RTP- or Siriusware-integrated suppliers.

1. From the Tape Chart main page, click the Bulk Load button. The Product Bulk Load page appears showing the products for the category displayed in the Category field and a date range with today’s date as the Start Date and the End Date 40 days from today.

   

2. To work with products from a different product category, select the category from the Category drop-down list.
3. Enter information in the following fields as they apply to your product:
   • Start Date – Enter the date the rate information is to become valid. Default is today’s date.
   • End Date – Enter the date the rate information is to expire.
   • Products/Selected Products – Highlight the products for which you want to enter rate/availability information in the Products box and click Add. The products move to the Selected Products box.
     
     
4. Select how the rate/availability information will apply to each day of the week.
   
   • Same for All Days – If the rate information won’t change per the day of week, select this option.

     

   • Vary by Day of Week – If the information changes depending on the weekday, select this option. Fields for entering separate information for each day of the week appear. Uncheck any boxes corresponding to days of the week for which the rate information will not apply.

     

   • Qty – Enter the number available for that particular product (i.e., inventory to sell through Inntopia).
   • Base Rate – Enter the base rate of the product.
   • Single Supplement – Enter the supplemental charge for single occupancy if using Per-Person Pricing.
   • Extra Adult – Enter extra adult rate. (Based on minimum Adult age as determined on the Company page.)
   • Extra Child – Enter extra child rate. (Based on minimum Child age as determined on the Company page.)
   • Min Stay – Enter the number of nights required to stay for this product.
   • No Check-In – To forbid check-ins during the date range you entered, check this box.
   • No Check-Out – To forbid check-outs during the date range you entered, check this box.
   • Close Out – To forbid bookings to occur for the date range you entered, check this box.
     
5. To separately load/update only individual types of product information, select from:

   Availability	Extra Child Rate
   Base Rate	Minimum Stay
   Single Supplement Rate	Check In
   Extra Adult Rate	Check Out
   Extra Youth Rate	Close Out

   If you selected the information to Vary by Day of Week, fields for updating each weekday for the selected type of product information appears. For example, if you selected Vary by Day of Week and want to only upload Base Rate, the fields only applying to base rates would appear.

   

   Note: For the Extra Adult and Extra Child bulk load feature to work correctly, the base rate of the products being updated must be the same.

6. Once all the fields are complete, click Submit. The rate and availability information appears in the Tape Chart. A green plus sign indicates extra adult while two red plus signs indicated extra child charges.
