Remote System Reservations Report
The Remote System Reservations Report shows a history of successfully booked remote point-of-sale system reservations and allows you to manage the reservations that failed to transmit.
If a reservation does fail to transmit, the Submit button lets you queue the reservation to be re-sent once any issues preventing message transmission have been resolved. A View Details link also appears, allowing you to view the Itinerary History Detail for that failed reservation .
- In Inntopia CRS, click the Reports & AR/AP tab. The Reporting, Receivables and Payables page appears.
- From the list of reports, under the Administrative section, click Remote System Reservations. The date selector appears.
- You can search for reservation information by either Date Reserved or Date Checking In. In the From and Until fields beneath the appropriate header, enter a date range for the report.
- From the Remote System drop-down list, select the remote system for which you would like to see reservation information.
- Click Search. The Remote System Reservations Report appears. A sample report appears below.
Show Me Column Descriptions - Sales Channel – Name of sales channel in which reservation was made
- Itinerary ID – Itinerary ID number
- Item ID – Number corresponding to an item on the itinerary
- Reservation Date – Date on which itinerary was reserved
- Check In Date – Reservation check-in date, or "start" date
- Customer – Last name of customer who reserved the itinerary
- Supplier – Name of product supplier
- Product – Name of product that was reserved
- XRef – Integrated product cross-reference code
- Price – Dollar amount of reservation
- TaxesFees – Dollar amount of reservation taxes and fees
- Remote System Confirmation Number – Reservation confirmation number provided by the remote system
- Remote System Barcode Id – Voucher barcode ID for non-integrated product (if applicable)
- Status in Remote System – Status of the reservation in the remote system. Depending on the remote system, you may see terms such as confirmed, pending confirmation, pending cancellation confirmation, or cancellation confirmed.
- Status in Inntopia – Status of the reservation in the Inntopia System. Reservations are listed as either confirmed or cancelled in the Inntopia System.
- Retransmit – Double dash (- -) indicates a normal, successful transaction. A Submit button in this column indicates an abnormal, unsuccessful transaction. If you are unsure why a transaction was unsuccessful, you must contact Inntopia Partner Services and the remote system administrator to correct the problem before selecting Submit.
- Override – An Override button in this column indicates a remote-system reservation can be unlocked/cancelled in Inntopia only (it does not send the cancel to the external system) without needing to submit a request to Inntopia staff.
- Details – A Details link in this column indicates there is additional information available about that itinerary item.
If a reservation on the report shows a problem and you are unsure what's causing the issue, you must contact Inntopia Partner Services and the remote system administrator to correct the problem before re-transmitting the reservation.
Itinerary items that have been previously cancelled in remote systems may be locked for cancellation by agents in Inntopia CRS. However, depending on the remote system in use, agents can override the lock and are able to cancel some itinerary items directly in Inntopia that have been previously cancelled in the remote system.
- Manual override/cancel in Inntopia is supported for the following remote systems:
- GolfSwitch
- RateGain (formerly DHISCO)
- RTP
- Siriusware
- An Override button appearing in the Override column lets a user cancel a remote-system reservation in Inntopia only (it does not send the cancellation to the remote/external system).
- The Override button appears only on rows that:
- have a remote confirmation,
- the Status in Remote System column does not already display “Cancelled Directly in Rsys,” and
- are not queued for retransmit.
- The Item ID column of the report indicates which item on the itinerary is being overridden/cancelled.
- Run the Remote System Reservations report.
- Locate the itinerary item or items in the report that you want to override and cancel. Use the Item ID column to identify the correct itinerary items.
- Click the corresponding Override button for each item you want to cancel.
If an override is successful, the item's Override button changes to a green Overridden button.
If an override fails, a red Retry button appears. Hover your mouse over the Retry button to display an explanation of why the override failed.
Note: If an item does not show an Override button, the override/cancel cannot be performed in Inntopia.
- To see the updated status in the Remote System Status column of the report, either refresh the page or re-run the report. For each item that was overridden, the status now shows Cancelled Directly in Rsys and the Override button is no longer visible for that item.
- Proceed with cancelling the item or items in Inntopia CRS. These cancellations are not sent to the remote system as they have already been cancelled in the remote system.
Upon re-running or refreshing the report, the Status in Inntopia column displays Cancelled for that item.
