Inntopia + Spot Insurance®
Inntopia's integration with Spot Insurance allows partners to provide guests with the option of insuring their travel purchases including trip and pass protection, injury insurance, and coverage to cancel for any reason (CFAR).
The Spot integration offers four types of protection for consumers. The following General integration highlights apply to all four insurance types; highlights specific to each individual insurance type are listed below.
- Insurance can be purchased in CRS, Inntopia eComm, and third-party eComm front ends (ex. JSON).
- Cancellation is supported for a specified number of days (agreed upon between partner and Spot) for all insurance types except Cancel For Any Reason (CFAR) coverage.
- Cancellation policies are configured in Inntopia.
- Insurance is configurable at the partner and product levels
- Inntopia does not collect beneficiary information from the customer. Inntopia can send the customer’s name in these fields if required.
- If insurance is removed, an agent can add it back on to the itinerary. Online customers must contact the call center to have insurance restored to their itinerary.
- Inntopia stores the rate used to calculate the insurance premium within Inntopia, avoiding the need to contact Spot each time a price calculation is required.
- Spot provides a document describing the insurance product after booking. Details on the insurance product are available to agents and online guests through the insurance product description.
- Insurance purchases are conveyed from Inntopia to Spot by batch every five to ten minutes.
- Product Insurance purchases are conveyed from Inntopia to Spot in real time.
- Insurance cannot be purchased on the same day as guest arrival.
- Cost is calculated as a percentage of the trip price.
- Only offered on itineraries with a value greater than $100.
- Covers all items on an itinerary.
- Trip protection is automatically added to Inntopia itineraries in Inntopia CRS. Consumers can, however, opt out of purchasing insurance and you can delete the insurance item before booking their reservation.
- Trip protection is offered to online customers on the Reserve Itinerary page. Upon reviewing their itinerary, online customers can add travel insurance to their itinerary but still have the option to remove it before making the final purchase.
Offer guests the ability to protect individual pass products. For example, guests can purchase ski pass protection and get reimbursed if the pass is not used.
- Cost is calculated as a percentage of the pre-tax product price and assigned as a flat fee price to the Pass Protection product.
- Pass Protection is configured as a child product of a product bundle in Inntopia, and is offered to the guest when an insurable parent product is selected.
For example, you can configure a Season Pass product as the parent product of a bundle and configure product protection as the child product. When a guest selects the Season Pass product, the Pass Protection is offered as part of the bundle.
Offer guests protection in the event of injury. For example, guests can protect a multi-day lift ticket and get reimbursed in the event of an injury.
- Cost is a flat rate.
- Injury insurance is configured as a child product of a product bundle in Inntopia, and is offered to the guest when an insurable parent product is selected.
For example, you can configure a lift ticket product as the parent product of a bundle and configure injury insurance as a child product. When a guest selects the lift ticket product, the injury insurance is offered as part of the bundle.
- Cancellation of Injury insurance is supported as long as the start date hasn't been met, or for 10 days, whichever comes first.
Cancel For Any Reason (CFAR) coverage can be sold for products only.
- CFAR is configured as a child product of a product bundle in Inntopia and offered when the parent insurance product is selected. For example, you can configure a Season Pass product as the parent product in a bundle and configure the CFAR product as a child product. When a guest selects the Season Pass product, the Cancel for Any Reason product is offered as part of the bundle.
- Does NOT apply to Injury insurance or Trip protection.
Note: For specific information on what's covered under each type of insurance offered, contact your Spot Insurance representative.
- Inntopia partners must have contracts with Spot for a Trip Protection product which can be sold via the interface. Only one Trip Protection product can be supported by the integration.
- Inntopia partners must have contracts with Spot on Pass Protection, Injury Insurance, and CFAR coverage for the specific products for which they choose to sell these types of insurance.
- The Spot integration can only be used with the reseller-collect business model.
- Partner: Contacts Spot Insurance to secure a contract for their services.
- Spot Insurance: Provides all necessary information to the partner.
- Partner: Submits an INNTERACT request to provide the following setup information to Inntopia:
- Partner Identifier (GUID)
- Trip Insurance Offer SKU
- Cost of Insurance (%)
- Trip Insurance minimum purchase threshold ($)
- Sales Channel ID number
- Inntopia: Create trip insurance product and settings.
- Inntopia and Partner: When Inntopia has completed the integration set up, partner and Inntopia test the integration together before going live.
- Partner: Contacts Spot Insurance to secure a contract for their services.
- Spot Insurance: Provides all necessary information to the partner.
- Partner: Submits an INNTERACT request to provide the following setup information to Inntopia:
- Partner Identifier (GUID)
- Product Insurance Offer SKU(s)
- Sales Channel ID number
- Inntopia and Partner: In Inntopia RMS, create required Pass Protection, Injury Insurance, and CFAR Coverage products.
- Inntopia and Partner: In Inntopia RMS, create product bundles for insurance products.
- Inntopia and Partner: When Inntopia has completed the integration set up, partner and Inntopia test the integration together before going live.
Below is a summary of the messages that are currently passed between the Spot and Inntopia systems via the integration (this is not exhaustive as it is a high-level summary of the most relevant information that is exchanged):
- Arrival/Departure Date
- Premium Purchase Date and Time
- Premium Amount
- Trip or Product Cost
- Offer SKU - designates the insurance product
- First Name, Last Name
- Address
- City
- Country
- Phone
- Inntopia Itinerary ID
Some Canadian provinces collect tax on product level insurances such as product, injury and CFAR insurance. It is the responsibility of the partner and Spot to determine when these taxes apply, and the responsibility of the partner to ensure that the insurance product taxes are configured accurately in Inntopia RMS.
Due to Canadian provincial tax laws, the Spot Insurance integration with Inntopia works differently for Canadian customers and partners from how it works for partners located in the United States. Some Canadian provinces collect tax on travel insurance. Whether or not this tax is charged to a guest varies, as does the tax rate charged, depending on where in Canada the guest lives.
The Inntopia system calculates correct tax on Spot insurance based on Canadian partners’ residency for both CRS users and online consumers.
Cancellations for Canadian transactions are supported.
If the guest name and address has been added prior to building an itinerary, correct tax is calculated while building an itinerary.
If an agent adds insurance to an itinerary before adding the guest name and address, the tax amount appears as $0.00 on the Itinerary window and the insurance total will not include tax. Then, upon entering the guest name and address and reserving the itinerary, Inntopia recalculates and adds the applicable tax for travel insurance on the itinerary window and to the insurance total on the itinerary.
To see details on the tax, click the tax amount. The Tax/Fee Details appear describing the type of tax that was charged.
The correct tax amount also appears on the Itinerary Reservation screen and Saved Itinerary emails sent to the guest.
The insurance tax amount displayed to the guest in the Review step is based on the guest’s residency and the tax percentage set up within the Inntopia system.
Reconciling the insurance tax is solely the responsibility of the reseller and Spot. Inntopia currently offers a payable voucher system which resellers use to process the payables due.
Resellers using Spot must take the following steps to ensure proper remittance:
- Supplier account must be set up as reseller collects in the Accounting Rules tab.
- Set Payables Tax Option to Pay Tax on Retail Amount.
- Create payable voucher. Below is an example of the payable voucher which a reseller can use to remit the payable to Spot. It contains the following information:
- Name of the supplier and address
- Payment Voucher Number
- Date the voucher was generated
- Guest Name
- Itinerary ID
- Transaction Date (the date when the payable was generated)
- Reservation Date (the date the insurance was sold)
- Arrival Date (of the reservation item, most likely lodging)
- Amount (that is “trip cost")
- Reservation taxes/ fee (there will be tax if the guest lives in QC or ON)
- Commission due back to Spot
Inntopia recommends running the Insurance Policies report on a daily basis to ensure that your integration is operating correctly.
