Create a Product

Products are goods or services made available for resale through the Inntopia system. There is a wide variety of product types, or product categories, from which you can choose to best describe your product.

After you create the initial product, you can then enter more specific product information, tax information, rates, availability, and assign attributes to your product.

You can use the Inntopia system to create no-charge products that have zero-dollar pricing. No-charge products must have a zero-dollar rate of $0.00. Products with no rate entered do not appear in search results. For detailed information, click here.

  1. Login to your Inntopia RMS account and click the Products tab. The Products page appears.

  2. From the Product Category drop-down list in the Add Product section, choose the product category to which you want to assign the product.
  3. From the Inventory Type drop-down list, choose the type of rate/availability to which you want to assign the product.
    • Free Sale – An unlimited number of this product is available on any and all days this product is active, but rates may vary on a day-by-day basis. Free Sale is typically used only by large hotels and resorts that have a large number of units available and want to make a particular room type 'Available' or 'Unavailable' rather than assign an allocation.
    • Inventoried – Rates and availability for this product change over time, and can change on a day-by-day basis. This product can be used by more than one person, but charges may apply for extra people.
    • Merchandise (non-lodging products only) – There is always an unlimited number of this product available during the dates it is active. The price does NOT vary by number of people or date. This is often used for tangible merchandise, Add-On Packages, and for some services.
  4. In the Product Name field, enter the official name of the product you are creating. 100 character limit including spaces.

    5. Note: If you plan on making a copy of this product, consider limiting the name to 92 characters. Eight characters containing the words "Copy_of_" are added at the start of the product name of each copied product. For example: A copy of a product named Room With a View becomes Copy of Room With a View. If the character limit is exceeded upon attempting to copy a product, the copy attempt will fail.

  5. Click Create. The Descriptions window appears.

  6. Fill out the required (marked with an asterisk) and any optional fields on this page. Each field is described below. Not all fields appear for each product category. To enter information in an alternate language, click on the tab corresponding to the language in which you want to enter the information.
    • Product Name* – Enter the official name of your product. 100 character limit including spaces.
    • Short Name – Enter the name as you want the product to appear in search results. 50 character limit including spaces.
    • Product Description – Enter a brief description of your product. 7200 character limit including spaces.
    • Fulfillment Instructions – Enter any instructions for redeeming the reservation. You can include information specific to your product that is not noted in your Policies. This information appears to consumers on all email confirmation notifications.
    • Inntopia Product ID – Autofilled by Inntopia system. This ID helps you more easily and accurately identify products that have similar names.
    • Supplier Product ID – If you have an interface set up with a company that uses product ID to link room type information in their PMS to your products in Inntopia, you can enter that product ID here. If you enter your interface Product ID in this field, it is not visible anywhere else in the system.
    • Product Category – The product type you chose when creating the product appears in this field.
    • Display Sequence – Choose the order in which you’d like the product to appear in search results. You can also set this number on the Products page. If products are assigned the same number, the system displays them alphabetically in Inntopia RMS and randomly in Inntopia CRS.
  7. Click Save and close the window. The new product appears in the list on the Products page with an Inntopia-created Product ID in parentheses. The red text indicates the most recently worked on product.
